Privacy Policy

The short versionWe collect what we need to book your call and run PainterOS for your business. We never sell your information or your customers' information, and you can ask us to delete yours at any time.

1. Who we are

PainterOS ("PainterOS," "we," "us") helps residential painting contractors answer every call, follow up with every lead and collect more reviews. This policy explains what personal information we collect through getpainteros.com, when you book a call with us, and while we provide our service, and what we do with it.

2. What this policy covers

This policy covers:

Visitors to getpainteros.com, including people who book a discovery call.
Painting businesses that use PainterOS ("clients") and the people who contact us on their behalf.
Homeowners and other customers of our clients, whose information we handle only to provide the service to that client (see section 5).

The PainterOS app at app.getpainteros.com has its own, more detailed app privacy policy covering what the app stores and which services help run it. Where the two overlap, the app policy has the detail for data inside the app.

3. Information we collect

Information you give us

When you book a call: your name, email, phone number, business name and anything you type into the booking form. Bookings are handled by Calendly.
When you talk with us: what you share by phone, email, text or video call, such as how many calls and estimates your business gets, your service area and your prices.
When you become a client: business details, billing details (handled by our payment processor; we don't store full card numbers), photos of your work, your calendar and availability, and access to the tools we connect PainterOS to.

Information collected automatically

Basic technical data: like nearly every website, our hosting provider (Vercel) records requests to the site, including IP address, browser type, the page requested and the time. We use this to keep the site running and secure.
Embedded booking calendar: the Calendly calendar on our site is provided by Calendly and may set its own cookies and collect usage data under Calendly's privacy notice.
Fonts: our pages load fonts from Google Fonts, which receives your IP address to deliver them.

Things that never leave your browser

The "Try Jenna" demo and the missed-call calculator on our home page run entirely in your browser. Nothing you tap or type in them is sent to us or stored.

4. How we use information

To schedule and hold your discovery call, and to follow up about it.
To decide with you whether PainterOS is a fit, and to set up and run the service if you become a client.
To send you service messages, support, invoices and important updates.
To send you occasional marketing about PainterOS, which you can opt out of at any time.
To keep our website and service secure, prevent abuse and fix problems.
To meet legal, tax and accounting obligations.

We don't sell personal information, and we don't use it to build advertising profiles.

5. Data we handle for painting businesses

When a painting business uses PainterOS, we answer calls, send texts, follow up with leads, book estimates and request reviews on that business's behalf. To do that we process information about their customers and leads, such as names, phone numbers, email and street addresses, project details, appointment times, call recordings and transcripts, and text and email conversations.

We act as a service provider to the painting business. The business decides why the information is collected; we use it only to provide the service to that business.
We never sell it, never use it to market our own services to those customers, and never share it with other clients.
If you are a homeowner with questions about your information, please contact the painting company you dealt with. We'll help them respond.

6. Text messages (SMS)

PainterOS sends text messages for our clients (for example, estimate confirmations, follow-ups and review requests) and may text our own clients and prospects about their service or a scheduled call.

Message frequency varies. Message and data rates may apply.
Reply STOP to any message to stop receiving texts from that sender. Reply HELP for help.
Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. Information may be shared only with the service providers that help us deliver messages (such as our messaging platform and phone carriers).

We share personal information only with companies that help us run PainterOS, under agreements that limit them to providing their service to us, and only as much as they need:

Vercel (website and app hosting) and Turso (app database).
Calendly (booking calls) and Google Workspace (email and calendar).
GoHighLevel / LeadConnector (CRM, phone numbers, calling and texting) and phone carriers.
Anthropic and ElevenLabs (the AI that writes and speaks for the assistant) and Google (color preview images in the app).
Payment processors, accountants and professional advisers, as needed.

We may also disclose information if the law requires it, to protect our rights or someone's safety, or as part of a merger or sale of the business (in which case this policy would continue to apply).

8. Cookies

Our own website doesn't set advertising or analytics cookies. The embedded Calendly calendar may set cookies, and Calendly shows its own notice where required. If we add analytics or advertising tools in the future (for example, to measure an ad campaign), we'll update this policy first.

9. How long we keep information

Booking and sales conversations: for as long as useful to follow up, and no longer than 3 years after our last contact unless you become a client.
Client account information: while you're a client, then as long as needed for tax, accounting and legal reasons.
Data we process for a client: while the client uses PainterOS. When a client leaves, they can export their data, and we delete it from our systems within 90 days (encrypted backups age out on the same schedule).

10. Security

Connections to our site and app are encrypted (HTTPS). Access to client data is limited to the people and systems that need it, passwords are stored as one-way hashes, connection keys are stored encrypted, and backups are encrypted. No system is perfectly secure, but we work to protect your information and will notify affected people if a breach requires it.

11. Your choices and rights

Marketing: unsubscribe from marketing emails with the link in the email, or reply STOP to texts.
Access, correction and deletion: you can ask what personal information we hold about you, ask us to correct it, or ask us to delete it. Email skyler@getpainteros.com and we'll respond within 30 days. We may need to verify your identity, and we may keep information we're legally required to keep.
State privacy rights: depending on where you live (for example, California), you may have additional rights. We honor them, and we will not treat you differently for using them. We do not sell or share personal information for cross-context behavioral advertising.

12. Children

PainterOS is a service for businesses and isn't directed to children under 16. We don't knowingly collect their information.

13. Changes to this policy

If we change this policy, we'll update the date at the top. If a change is significant, we'll let clients know by email before it takes effect.
